Using IT solutions to improve parts of business workflows is no longer something only big corporations can do. Small and medium businesses can take advantage of the best IT-based solutions and cloud systems to help optimize their business processes. In fact, small businesses can benefit more from cloud solutions thanks to their extra flexibility.

There is a solution for everything, including invoicing. Since being able to manage customers’ invoices is crucial to the success of small businesses, the use of a good system to improve the process is that much more valuable. The tips we are going to discuss in this article will help your small business enjoy more benefits and better invoicing.

Automate Client Invoicing

One of the first things to focus on when you choose to implement a system to handle invoice management is automation. Automation will not only let you save a lot of time, but also allows you to optimize the workflow like never before. There will be no more missed invoices or unsent reminders when everything is processed automatically.

Automation works even better when the invoicing solution you use is designed for the specific industry you are in. This way, the generated invoices can be immensely accurate. It is easy to set the system and forget about it. A cleaning company billing software, for example, can take input like labor hours and other parameters for automatic invoice generation.

Add the Right Details

One thing to be sure of before implementing an invoicing solution is the kind of details included in the invoices; the ones that need to be in the invoices for them to be valid in the eyes of customers. You usually need to include the customer’s name and details, the tax identification number, and the customer’s PO number, along with details about your business.

Fortunately, most invoicing systems use templates that can be customized. You can add your own logo and colors, arrange the way necessary details are displayed in the invoice, and tweak other things about the template to your liking. You can even add personalized messages to the end of every invoice for that personal touch.

Keep It Electronic

Electronic invoicing is the most convenient way to go. You don’t need to manually send a physical invoice and you can add a link that enables customers to make their payments to the invoices too. Sticking with electronic invoicing allows the whole process of billing the customers and receiving payments to be simplified.

Keep in mind that not all customers can accept electronic invoices. There are companies – and individuals – who still require physical invoices to be signed and delivered before they can process the bill. Once again, you need to be able to tell which customers require physical invoices from the system; it is even better if you can automate the process.

Send Periodic Reminders

Generating an invoice and sending it to the customer are only the beginning. Most customers will pay their invoices before the predetermined due dates. However, there are also customers who aren’t good at keeping up with their payments.

This is where periodic reminders come in handy. Similar to the previous tips, sending periodic reminders is something that can be made more efficient when you can automate the process. The timing of your reminders matters too.

With most customers, some effective dates include the actual due date, 7 days after that due date, 14 days after, and 30 days after. You can then send a reminder once every 30 days or funnel the customer through your late-payment procedure.

With a good invoicing system in place, these tasks are so much easier to manage in the long run.
